Good evening everyone!  

Championship weekend is almost upon us so the next week is going to be a busy one!  This email has a lot of information about the process over the next week or more, so please read all the way to the bottom!  As always, a good source for what is required/processes/etc is always the GASL Rules which can be found HERE, Section 4 covers Championship meets.  A few important highlights are noted below, but I cannot stress enough the importance to fully review the GASL Rules linked above to ensure your teams/coaches are aware of the timeline and guidelines regarding these meets. A reminder that our Seed Meeting is on Monday July 13th from 6:30-7:30pm at Harting Farm, 1011 Harting Farm Dr. Arnold, MD 21012. Host teams may come at 6pm to set up.

Seeding/Meet Entry Timeline:

Each team will both lock/set ready entries in Maestro and e-mail separate entry files (Bronze, Silver, Gold) to respective Host teams by 1 p.m. the day before the league Championship seed Meeting (This must be done by 1pm on Sunday July 12, 2026).

a. Filenames should contain the team name or abbreviation.

b. Email should contain the listed relay swimmers.

Also included in the emails should be a pdf proof of times and proof of participation in two GASL Dual Meets (Individual Top Times/show two Meets will suffice) as well as Relay Reports with names of the swimmers.

Upon submission of meet entries, by 1 p.m. the day before the league Championship seed Meeting, neither additional nor modified entries will be accepted except at the discretion of the Championship Committee.

Additions may only be made in the case of coach error. Events may not be changed for individual athletes other than a scratch. Changes will ONLY be made by host team in Maestro. No deck entries will be accepted at any Championship Meet.

Day-of-Meet Relay swimmer substitutions will be allowed (only) for cases of injury or illness, provided that the substitute swimmer’s entry limitation permits. Relay swimmer order changes are allowed and must be reported to the Lane Timer prior to the start of the heat, and must be reported to the Scorekeeper at the conclusion of the meet.

Championship Meet Fees/Swimtopia Fees:

These fees are due at the Seed Meeting on Monday July 13th.  Please see below on what reports to print and bring with the check.

Each team should run a report for each champ meet (Bronze, Silver, and Gold) and SwimTopia will calculate the fees due for each meet. They should print the report and bring it with their check - the fees can be combined but we need the reports showing the breakdown for each meet. Each individual event is $2. There is no charge for relays. In Swimtopia go to "Reports -> Meet Fees" to run these reports.

Each team should also run a report for the SwimTopia fees. The report will default to the "Current" billing period - this needs to be switched back to the July 1 2025 - June 30 2026 billing period via the drop down menu. SwimTopia will calculate the fees due for each team. Each individual swimmer is $3.

In Swimtopia go to "Reports --> SwimTopia Per-Athlete Fees (Summary) " then follow instructions above regarding selecting the billing period.

Teams can combine the checks for champ meet fees AND SwimTopia fees but they need to print the reports so the fees can be reconciled. 

Relays:

Teams may only enter ONE relay, there are no exhibition relays in Championship Meets.  For your reference, here is a reminder about the required makeup of the relays, PLEASE double check your relay entries before locking/submitting for proper age/makeup.  We do not want to have kids not able to swim because their relays are not legal according to the rules below.  

Bronze Meet

i. Medley Relays will include one swimmer from each of the following age groups 8U, 10U, 12U, and 14U (in no particular order) each swimming 25 yards/meters.

ii. Free Relays will total 100 yards/meters in four 25-yard/meter lengths and will include

one swimmer from each of the following age groups: 8U, 10U, 12U and 14U.

Silver & Gold Meet

i. Medley Relay comprises one swimmer from each of the following age groups:

10-&-under, 12-&-under, 14-&-under, and 18-&-under. Each swimmer swims one stroke

for one length of the pool, respectively in the order Backstroke, Breaststroke, Butterfly,

Freestyle.

ii. Freestyle Relay comprises four swimmers, one each from10-&-under, 12-&-under,

14-&-under, and 18-&-under. The first two swimmers swim one length each, the next two

swimmers swim two lengths each of the pool in any manner desired.
